Why spreadsheet shipping quotes jump: volumetric weight

A 400 g hoodie in a tall carton can bill like several kilograms. Carriers charge the higher of the scale and the box — that is why the warehouse quote is not the CNY cell on the row.

The spreadsheet number was never postage

A USFans spreadsheet row is a Weidian, Taobao, or 1688 seller price (sometimes shown as a ~$ hint). It does not know your destination, the packed carton, or which courier product is open this week. On USFans you typically pay the item and the domestic inbound first. International freight is a second bill, quoted after warehouse photos and packing. That split is in how to buy.

When the second bill lands higher than a Discord “$12/kg” screenshot, the usual cause is not a hidden coupon you missed. It is chargeable weight: the courier bills whichever is larger, the kilograms on the scale or the kilograms implied by the outer box.

Why aircraft care about empty space

A plane (and an express truck) has two limits: mass and cubic metres. A dense parcel of denim uses little space for its weight. A puffer, a helmet, or two sneaker boxes uses a lot of space for little mass. If carriers only billed scale weight, light bulky cargo would crowd out paying freight. Dimensional — or volumetric — weight converts that cube into a billing kilogram so space has a price.

Freight explainers that walk through air-cargo rating, including Maersk’s chargeable-weight notes, put it the same way: compare gross weight and volumetric weight, then charge the higher figure. Express networks use the same idea with a stricter density rule.

Chargeable weight in one line

Measure the outer carton, including bulge. Multiply length × width × height. Divide by the line’s divisor. Compare that result with the scale. The invoice uses the larger number. Carriers also round; a fraction of a kilogram often steps up. Do not budget to the gram from a kitchen scale photo of the hoodie alone.

Two common divisors (they are not interchangeable)

In centimetres and kilograms the formula is:

volumetric kg = (L × W × H) ÷ divisor

DHL Express’s own shipping guides state a standard volumetric divisor of 5,000 for cm/kg, with the chargeable weight equal to the greater of actual and volumetric. UPS documents dimensional weight as (L × W × H) ÷ a DIM factor, and notes that dimensional weight may apply to domestic and international packages. Worked example (same box, two rules)

Carton: 50 × 40 × 30 cm. Volume = 60,000 cm³. Scale weight of the packed haul: 3 kg.

  • ÷ 6,000 → 10 kg volumetric. Chargeable = 10 kg (volume wins).
  • ÷ 5,000 → 12 kg volumetric. Chargeable = 12 kg.

DHL’s public example for a 50 × 40 × 30 cm parcel at ÷5,000 is the same 12 kg volumetric figure. If your clothes only weigh 3 kg, you are not being “overcharged for grams.” You are paying for a 60-litre hole in the aircraft.

Reverse the density: a 50 × 40 × 30 cm carton stuffed with books at 14 kg scale. Volumetric 10–12 kg is lower than the scale, so chargeable is 14 kg. Dense hauls follow the scale; fluffy hauls follow the cube.

How this shows up on a spreadsheet haul

Shoe boxes, puffers, headwear, and mixed “one of everything” cartons are the usual jumps. A pair that looked cheap on the row can cost more to export than the shoes once the retail box is in the parcel. Removing the box cuts volume; it can also crease collars and crush midsoles. That trade-off is yours — this site will not tell you to toss every box.

USFans’ public estimate notes say packed postage can still move about ±5–10% after volumetric weight and carton size are known. That is a tolerance on an estimate, not a coupon. If the warehouse offers a rehearsal / weigh-in before you lock a line, use it when the haul is bulky. Details of the two-stage bill and restrictions (batteries, liquids, perfume) sit on shipping.

What you can actually do

  • Finish warehouse photos first. Do not submit the parcel to “see a number” while you still might return a pair.
  • Ask, before submit, whether the shoe box is worth the cube.
  • Do not ship one tee in a huge carton “for safety.” Fillers still occupy billed space.
  • Wait for the warehouse quote. Spreadsheet cells and YouTube $/kg are not the invoice.
  • Treat US duties as a separate line from DIM weight. De minimis ended; customs and tax covers DDP vs not DDP.
